Admin Dashboard

In this article, we will describe how to use the Admin Dashboard to manager your users and licenses.

Navigation

When you sign up for DeepScribe, you will receive an email to create your account by setting your password. Navigate to canvas.deepscribe.ai and log in. If you are an Admin or Super Admin, you will have access to the Admin Dashboard. Hover over your profile icon on the top right and select "Admin Dashboard."

Basics

Left: Note the number of licenses available to your company. This is based on the number of licenses that your subscription is billed for.

Top right: Click on "+Add users" to invite your colleagues.

Bottom right: Click the kebab menu to edit users if needed

Adding users (Individually)

  1. Enter colleague's first name

  2. Enter colleague's last name

  3. Enter colleague's email address

  4. [Super Admin only] Organization - If there are multiple organizations in your company, select which organization your colleague is under.

  5. Select colleague's role

    1. Super Admin - Can manage and view all users, customizations, and notes in the company.

    2. Admin - Can manage and view all users, customizations, and notes in the organization.

    3. Clinical User - Can manage and view customizations and notes in their account.

    4. Restricted Super Admins and Admins - Same permissions as Super Admins and Admins, except cannot view notes (e.g. non clinical staff).

    5. NOTE: You may only select permission levels for others up to your permission level (e.g. Admins cannot create Super Admins).

  6. Select colleague's specialty

    1. See Specialty List

  7. Select licensed status

    1. Licensed = Can log into portal and recording apps and make recordings.

    2. Unlicensed = Can only log into portal. Cannot log into recordings apps and make recordings.

    3. NOTE: Number of licensed users cannot exceed number of available licenses (See Basics)

  8. Check for errors, if any

  9. Add more users by clicking "+Add more" on the bottom left or click "Add user" on the bottom right

  10. Once your colleague(s) is added, they will receive an email to create their password

Adding users (in bulk)

  1. Click Bulk Upload

  2. Download the CSV template file

  3. Fill out your CSV with the following format:

    • first_name

      • E.g. John, Jane

      • Notes: There is no validation for this field

    • last_name

      • E.g. Doe, Smith

      • Notes: There is no validation for this field

    • email

      • E.g. [email protected] (this field is case sensitive)

      • Must be the email address used for DeepScribe login

    • role

      • Options: Super Admin, Admin, Clinical User

    • licensed

      • Options: True, False

      • Licensed users will be able to make recordings and will be billed; Unlicensed users will NOT be able to make recordings and will NOT be billed

    • specialty

    • org

      • Only available for Super Admins who manage more than one org

      • See dropdown in the tool (this field is case sensitive)

  4. Upload your file

  5. Check for errors, if any

  6. Click "Add user" on the bottom right
