Dictation

DeepScribe’s dictation feature is designed to give you increased flexibility in how, when, and where you document. With dictation, you can produce documentation quickly and effortlessly, whether you’re using it in combination with DeepScribe’s ambient AI scribe or on its own. This article outlines the 3 primary functions of dictation and how to achieve them:

  • How to add dictations to DeepScribe’s AI-generated note

  • How to create “hybrid” notes (partially AI-generated, partially dictated)

  • How to dictate the entire note

General Knowledge

  1. DeepScribe’s dictation feature leverages Smart Refinement, a subsystem of our AI that allows clinicians to quickly dictate information into the note without having to speak verbatim. Smart Refinement automatically deciphers your dictations, combs them for grammar, spelling, and punctuation errors, and formats them into cohesive sentences.

  2. If you prefer, you can type information into each note section instead of dictating.

    Dictation commands you can use!

    • "New line" (1 line break)

    • "New paragraph" (2 line breaks)

    • "Period", "comma", "colon", etc.

    • "Open parentheses", "close parentheses"

    • "Quote", "end quote"

How to Add Dictation to a DeepScribe Note

DeepScribe's dictation feature allows you to add dictation to your note to complement the AI-generated note. Here's how to do it:

  1. Tap the dictation button

  2. Tap the note section you wish to add to

  3. Tap record

  4. Begin dictation

  5. Finish and tap Save

Note: Dictations can only be added prior to pushing a note to your EHR. For best results, leave Push to EHR in manual mode.

How to Create "Hybrid" Notes

If you want to combine the benefits of dictation and DeepScribe's AI-generated documentation, you can create "hybrid" notes by toggling certain sections on or off. This allows you to dictate some parts of the note while using AI-generated documentation for others. For example, you might prefer to dictate the Plan section yourself but use DeepScribe's AI-generated notes for the Subjective, ROS, Objective, and Assessment sections. You can set this globally for all notes or toggle dictation on and off by section on a note-by-note basis. Let’s look at the difference:

Set it and forget it

If there are certain fields you never want DeepScribe to write for you, you can turn them off in Settings > Final Note Settings. In this menu, you'll see a list of note sections with toggle buttons next to them. Simply toggle off any sections you do not want DeepScribe to generate for you. For example, if you prefer to dictate or write your own Plan section, toggle off Plan in Final Note Settings. DeepScribe will only push your dictated Plan to your EHR and not the AI-generated Plan.

Note: DeepScribe will still capture and document sections that are toggled off in Dictation Settings, those sections simply will not flow into your EHR or be visible to you in the app unless toggled back on.

Note-by-note basis

It's incredibly easy to turn off certain note sections on a note-by-note basis. Before pushing a note to your EHR, simply navigate to the note, toggle off the section you don't want to populate, and replace it with dictation. Here's how to do it:

  1. Tap the patient name to view the scribed note

  2. Tap the section you want to replace with dictation

  3. Tap the dictation button and begin dictating

  4. Finish and tap Save

  5. Toggle off DeepScribe's note to see only your dictation

Note: Toggling off sections will not delete the information of that note section, it will just hide it from present view and prevent it from being pushed to the EHR. You can toggle any section on or off at any point.

How to Dictate the Entire Note Dictation-Only

DeepScribe's dictation feature supports full dictation of an entire visit. Here's how to do it:

  1. Tap the patient name

  2. Tap the dictation button

  3. Select a note section

  4. Tap the dictation button again

  5. Begin dictating

  6. Finish and tap Save

Note: DeepScribe's dictation feature is flexible and allows you to dictate before and/or after a visit. As long as the note has not been pushed to your EHR, you can continue to edit and add dictations as needed. Once you Push to EHR, you will have immediate access to your dictations.
