Welcome to DeepScribe's Customization Studio!

DeepScribe’s Customization Studio is designed to revolutionize your clinical documentation process by allowing you to tailor almost every aspect of your notes and adapt DeepScribe’s outputs to your unique specialty/documentation preferences. This guide will help you navigate and optimize the Customization Studio for your needs.


Navigating the Customization Studio

The Customization Studio is divided into three main panels:

  1. Menu Panel: Access different sections of your documentation. (left 1/3 of the screen)

  2. Control Panel: Make specific adjustments within each section. (middle 1/3 of the screen)

  3. View Panel: Preview changes in real-time. (right 1/3 of the screen)

Save your work - Click the "Save" button after you make a change/before you navigate to a new note section to ensure your new selections are captured.

Global Page Settings

The global page is where you can set overarching preferences for your notes. Options here include:

  • Patient Referred to as: Adjust how the patient is referred to in the documentation (First name, 'Patient', 'Client', 'Mr./Mrs. [last name]', other).

  • Turn specific sections on or off.

  • Attestations: Add custom phrases or attestations to append to each section (e.g. 'This Subjective was generated by DeepScribe's AI scribe.").

  • Replacements: Notice we continue to spell a word or name wrong consistently? Tell us here that "Dr. Johnson" should always be spelled "Dr. Jonson".

Subjective Section

Choose from three format templates for your Subjective notes:

  1. Paragraph: A continuous narrative presented in a single paragraph.

  2. Category: Fine-tune format by reorganizing or combining categories using the drag and drop editor.

  3. Topic: AI identifies medical concepts and arranges them into distinct paragraphs based on relevant topics.

Review of Systems (ROS)

ROS customization options include:

  • Static Line vs ROS Template: Choose between a consistent line of text (e.g., "ROS as per HPI") or a dynamic template.

  • Template Customization: Use DeepScribe's templates or contact support to add your personalized templates.

  • Pinning Body Systems: The pin icon located to the left of each body system indicates if the body system will appear in the note. A highlighted pin

    means the body system will be present in all notes, whether our AI hears the body system mentioned or not. An unhighlighted pin indicates that body system will only appear if/when that body system is verbalized during the recording. If you would like to update which body systems are pinned/unpinned, please contact support.

  • Phrases to Invoke: Use vocal commands “insert” or “attach” to trigger specific ROS templates during consultations (e.g. “Insert basic ROS”).

  • Formatting: Select the syntax DeepScribe uses to articulate negative or positive findings.

  • ROS Attestation: Add custom attestations for added clarity and specificity (e.g. “ROS captured via parent/guardian”).

  • Enable or disable the ROS section

Objective Section

Objective customization options include:

  • Template Customization: Use DeepScribe's templates or contact support to add your personalized templates.

  • Pinning Body Systems: The pin icon located to the left of each body system indicates if the body system will appear in the note. A highlighted pin

    means the body system will be present in all notes, whether our AI hears the body system mentioned or not. An unhighlighted pin indicates that body system will only appear if/when that body system is verbalized during the recording. If you would like to update which body systems are pinned/unpinned, please contact support.

  • Phrases to Invoke: Use vocal commands “insert” or “attach” to trigger non-default exam templates during consultations (e.g. “Insert basic exam”). A template that is set to default does not need to be verbally invoked.

  • Objective Attestation: Add custom attestations for added clarity and specificity (e.g. “Exam conducted via televisit”).

  • Enable or disable the Objective section

Procedures

(Note: This subsection can be found within the Objective section in the Customization Studio)

For clinicians that perform in-office procedures, enabling this section will allow for verbalized procedure findings to be included in the note verbatim as long as the procedure-specific trigger phrase is spoken during the recording. Functioning similarly to macros, users can select from the preset library of procedure types or create custom procedures tailored specifically to their needs.

Procedure customization options include:

  • Choose from our preset library or create custom procedure types

  • Select which SOAP section they will appear in:

    • Subjective

    • Objective (Default)

    • Plan

  • Enable or disable the Procedure section

  • Phrases to invoke: Use the trigger phrase provided (if using prebuilt procedure types) or create your own; any findings verbalized after the trigger phrase will be included verbatim as the findings for that procedure.

Assessment & Plan

(*Note: Plan customizations will look different for our Psych users.)

Assessment and Plan customization options include:

  • Organize by List, Topic, or ICD10 Codes: Organize the Plan in a list, segment it into categories based on topic/problem, or organize it by ICD10 code.

  • Fine Tune Formatting: Customize subheader formatting with dashes, bullets, or numbers to enhance readability.

  • Enable or disable the assessment and/or plan section

Macros

What are macros?

Macros are a static/unchanging block of text that you can invoke during your recording. These blocks of text will be added to the end of the SOAP section you select during setup.

Macro customization options include:

  • Build custom macros for different visit types, select the SOAP section they can be added to, and set vocal phrases to trigger these macros during consultations.

  • Phrases to Invoke: Use vocal commands “insert” or “attach” to trigger specific macros during consultations (e.g. “Insert diabetes education”).
