DeepScribe Note Statuses

DeepScribe has several note status designed to quickly identify what stage your note is in while being processed. These statuses are the same across the DeepScribe App and Web Portal.


"Ready to record" indicates there are not yet any existing recordings for the encounter and you are free to begin recording.


"Recording" indicates you are currently recording in the encounter.


"Uploading" indicates your note is uploading from your device to the DeepScribe cloud.

Note: Once your recording is uploaded to the DeepScribe cloud, it is removed from the local storage on your device to avoid consuming your device memory.


"Transcribing" indicates the raw transcription is being generated from the audio recording.


"Ready to scribe" indicates you made at least 1 recording on the encounter, but have not yet pressed the "Scribe It" button. Your recording/s will not be processed until the "Scribe it" button is pressed for each encounter. Additional recordings can be added while in the "Ready to scribe" state.


"Scribing" indicates you have pressed the "Scribe It" button and we are processing your note. No additional recordings can be added once your note reaches this stage.


"Complete" indicates your note has been processed.

For our EHR integrated users with "Automatic Import to EHR" turned on, you will not see this status unless you deselect auto-import for an encounter. Those with "Automatic Import to EHR" turned on will see your status change from "Scribing" to "Imported".


"Ready to push" indicates your note has finished processing and you may press the "Import to EHR" button whenever you are ready.

"Imported" indicates your note has been imported to your EHR.

"Failed" indicates your recording was empty, there was no medically relevant information in the recording to scribe, or there was a processing error. If you see a "Failed" stated, outreach us via the Customer Support chat in the DeepScribe App or Web Portal.
