DeepScribe Zoom Extension Guide

This is a quick guide on how to install and use the DeepScribe Zoom Extension

DeepScribe is now available in the Zoom Marketplace, allowing users to seamlessly record their Zoom meetings and subsequently receive a DeepScribe-generated note. With the DeepScribe Zoom app, all of your recordings from Zoom will be processed through DeepScribe, and the transcriptions, recording, and final SOAP note will be available in your EHR (for integrated users) and/or the DeepScribe portal (for standalone users).

Make sure you have the following before you download the DeepScribe Zoom app:

  1. Zoom account: Ensure you are signed into an active Zoom account

  2. Zoom admin permissions: Ensure you are a Zoom admin so you can install and configure Zoom apps

  3. DeepScribe account: Ensure you have an active DeepScribe account

Installation & configuration

  1. Download

    1. Open Zoom and go to the Zoom Marketplace

    2. Search for DeepScribe

    3. Install the app

  2. Authorize

    1. Grant permissions: Follow the prompts to grant the necessary permissions for the DeepScribe app to access your Zoom account

  3. Configure

    1. Recording preferences: In the app settings, configure how you want your Zoom meetings to be recorded. All cloud recordings will be automatically sent to DeepScribe for transcription. You can manually configure which meetings are recorded to the cloud through your Zoom settings

Using the app

  1. Recording meetings

    1. Start a Zoom meeting: Begin your Zoom meeting as usual

    2. Record the meeting: Click on the "Record" button to start recording. Ensure that the meeting is being recorded to the cloud if you have selected automatic processing

  2. Processing and transcription

    1. Automatic upload: Once the meeting ends, the cloud recording will be automatically uploaded to DeepScribe for processing

  3. Accessing transcriptions

    1. Viewing the final note: If integrated, simply go to your EHR to view, edit and sign off on the note. If not integrated, visit the DeepScribe Portal (portal.deepscribe.ai) to view, edit, and copy the note into your EHR

    2. Transcriptions and recordings: These will also be available in the DeepScribe Portal

Deauthorizing the app

If you no longer wish to use the DeepScribe app with Zoom, you can deauthorize it at any time.

  1. Open Zoom Web Portal: Go to the Zoom Web Portal.

  2. Navigate to "Apps": Click on "Apps" in the left sidebar.

  3. Manage: Under the "Installed Apps" section, find the DeepScribe app and click "Manage."

  4. Remove: Select "Remove" to deauthorize and uninstall the app.

After deauthorizing, no further recordings from Zoom will be processed through DeepScribe.

Troubleshooting

  • Authorization Issues: Ensure you have granted all necessary permissions during installation. If issues persist, try reinstalling the app

  • Recording Not Uploading: Check your internet connection and verify that the recording settings are configured correctly

  • Transcriptions Delayed: Processing times may vary. If delays are significant, contact DeepScribe support
